Composing the Invitation Email

Once you have created an email collector, the Message section is where you write the invitation your recipients receive. This guide covers the subject line, body, personalization, and the survey button.

Setting the Subject and Format

At the top of the Message section you will find:

  1. Subject - the line recipients see in their inbox. Keep it short and specific.
  2. Message format - choose Template (styled with an optional header and logo), Plain Text, or HTML.

You can also click Copy a previous message to reuse an invitation from an earlier collector, then adjust it.

Writing the Body

Type your message into the rich text editor. It supports standard formatting such as bold, lists, and links.

Personalizing with Merge Fields

Above the editor is an Insert data… dropdown. Place your cursor where you want the value to appear, then pick a field. SurveyMethods inserts a merge tag that is replaced with each recipient’s own data when the email is sent.

Dropdown optionInserted tag
Email[Email]
First Name[FirstName]
Last Name[LastName]
Custom Field 1-5[CustomField1][CustomField5]

Custom fields pull from the matching columns in your contact list, so make sure those are filled in. See Managing Contacts for how to add and map that data.

The Survey Button

Recipients open your survey through a button that is added automatically. In the Customize button panel you can set the Button text and pick a Background and Font color to match your branding.

Previewing

Click Preview mail at any time to see how the finished email looks before you send it.
