Team Billing & Seats

Team plans let multiple users collaborate on surveys under one subscription. This guide covers managing seats, billing, and team administration.

Understanding Team Plans

How Team Billing Works

  • Per-seat pricing: You pay for each user (seat) on the team
  • Minimum seats: Team Professional requires at least 3 seats
  • Shared responses: Your response allowance is shared across all team members
  • Consolidated billing: One invoice for the entire team

Managing Seats

Viewing Current Seats

  1. Go to Account Settings > Team
  2. See your current seat count and usage
  3. View a list of all team members

Adding Seats

To add more users to your team:

  1. Go to Account Settings > Billing
  2. Click Manage Seats
  3. Enter the new total number of seats
  4. Click Add Seats

Billing for new seats:

  • Prorated charge for the remainder of your billing period
  • Full seat price starts at next renewal

Removing Seats

To reduce your seat count:

  1. First, remove users until you’re at your target seat count
  2. Go to Account Settings > Billing
  3. Click Manage Seats
  4. Enter the reduced number
  5. Click Confirm Reduction

Important:

  • You cannot reduce below the minimum (3 seats)
  • Seat reductions take effect at your next billing date
  • No refunds for unused seats in the current period

Team Member Management

Inviting Team Members

  1. Go to Account Settings > Team
  2. Click Invite Member
  3. Enter their email address
  4. Select their role (Admin, Editor, or Viewer)
  5. Click Send Invitation

They’ll receive an email to join your team.

Team Roles

Removing Team Members

  1. Go to Account Settings > Team
  2. Find the member to remove
  3. Click Remove (or the trash icon)
  4. Confirm removal

What happens to their work:

  • Surveys they created remain on the team account
  • They lose access immediately
  • You can reassign ownership of their surveys

Transferring Survey Ownership

To transfer a survey to another team member:

  1. Open the survey
  2. Go to Settings > Ownership
  3. Select the new owner from your team
  4. Click Transfer

Billing Administration

Who Can Manage Billing?

Only the Team Owner can:

  • Change the plan or seats
  • Update payment methods
  • View invoices
  • Cancel the subscription

Admins can view billing information but cannot make changes.

Transferring Ownership

To make someone else the team owner:

  1. Go to Account Settings > Team
  2. Find the member who will become owner
  3. Click Make Owner
  4. Confirm the transfer

You’ll become an Admin after transferring ownership.

Updating Billing Contact

The billing contact receives invoices and payment notifications:

  1. Go to Account Settings > Billing
  2. Click Billing Contact
  3. Enter the new email address
  4. Click Save

Shared Resources

Response Pool

Team responses are pooled:

  • All team members draw from the same allowance
  • Example: 60,000 responses/year shared across all users
  • Track usage in Account Settings > Usage

Asset Library

Teams can share:

  • Survey templates
  • Custom themes
  • Question libraries
  • Image assets

Access the shared library from the survey builder.

Survey Visibility

By default, surveys are visible to:

  • The creator
  • Team Admins
  • Team Owner

To share with other team members:

  1. Open the survey
  2. Go to Settings > Sharing
  3. Select team members or “Entire Team”

Leaving a Team

For Team Members

If you want to leave a team:

  1. Go to Account Settings > Team
  2. Click Leave Team
  3. Confirm your decision

What happens:

  • You lose access to team surveys
  • Your individual account becomes a free Basic account
  • Surveys you created remain with the team

What You Keep

When leaving, you keep:

  • Your personal SurveyMethods account
  • Access to the free Basic plan
  • The option to start a new individual subscription

What Stays with the Team

  • All surveys (even ones you created)
  • All responses
  • Shared assets you uploaded

Dissolving a Team

As the Team Owner

To completely dissolve your team:

  1. Remove all team members first
  2. Go to Account Settings > Billing
  3. Click Cancel Team Subscription
  4. Confirm dissolution

What happens:

  • All members are removed
  • You retain an individual account
  • Team surveys become your personal surveys
  • You’re downgraded to Basic (or can choose an individual plan)

Common Questions

Can team members have different plans?

No. All team members share the same team plan and features.

Do unused seats roll over?

No. You pay for seats whether they’re used or not. Reduce unused seats to save money.

Can I mix annual and monthly billing?

Team plans require annual billing. Monthly billing is not available for teams.

What happens if we exceed our response limit?

You can purchase additional responses, or responses are paused until renewal. The team owner is notified at 80% usage.

Can we add seats mid-year?

Yes. New seats are prorated for the remainder of your billing period.

How do I get a quote for Enterprise?
