Contact Custom Fields

Every contact has five custom fields you can use to store extra details beyond name and email. These values can then be merged into your email invitations so each recipient gets a personalized message.

What Custom Fields Are For

Each contact record includes Custom 1 through Custom 5. Use them for anything specific to your recipients, such as company, department, account number, region, or membership level. The fields are free text, so you decide what each one holds. Just be consistent so the same field means the same thing for every contact.

Adding Custom Field Values

When you edit an existing contact, the custom fields are shown automatically. When adding a new contact, turn on the Add Custom Fields switch to reveal them.

  1. Open Contacts from the main navigation.
  2. Add a new contact or edit an existing one.
  3. Enter values in Custom 1 through Custom 5.
  4. Save the contact.

Using Custom Fields in Emails

When composing an email invitation, you can drop custom field values into the subject or body so each message is personalized.

  1. Compose your email message on the collector.
  2. Place your cursor where the value should appear in the body.
  3. Open the Insert data… menu above the message editor.
  4. Choose the field you want to insert.

The available merge tokens are:

Insert optionToken added

Email[Email]
Custom Field 1[CustomField1]
Custom Field 2[CustomField2]
Custom Field 3[CustomField3]
Custom Field 4[CustomField4]
Custom Field 5[CustomField5]

When the email is sent, each token is replaced with that contact’s value. Use Preview mail to check how a message looks before sending. For full sending steps, see Distributing Surveys via Email.

Tip: If a contact has no value for a field, its token comes through blank, so avoid wording that only makes sense when the field is filled in.
