Event Capacity & Waitlists
Control how many people can attend your event and what happens once it fills up.
Total capacity
Set Total capacity to the number of seats available. As respondents RSVP Yes, they take confirmed seats until capacity is reached. After that, further Yes RSVPs join the waitlist automatically.
Leave capacity off to run an unlimited event where every Yes is confirmed.
Splitting capacity into groups
Turn on Split capacity into groups to divide seats into named buckets — for example coaches on a trip, tables at a dinner, or sessions in a day.
- Enable Split capacity into groups.
- Add a group, give it a name, and set its Capacity.
- Use Add group / Remove group to adjust.
Seats fill sequentially: the first group fills before the next begins, so groups stay together in order. You can move confirmed guests between groups later from My Events.
How the waitlist works
- When every seat (across all groups) is taken, a new Yes RSVP is waitlisted and queued in the order they responded.
- Respondents on the waitlist see your Waitlist message.
- When a confirmed guest cancels or you remove them, the next person on the waitlist is promoted to fill the freed seat.
- You can also manually promote or move waitlisted guests — see Managing registrants.
Informational-only events
If you only want to display event details without collecting RSVPs, turn on Informational only (no RSVP or capacity). No seats, waitlist, or attendee list are tracked.
